Finding a Suitable Location to Host a DP Meeting

  • Room Size - Use past event attendance as a tool to anticipate future attendance

  • Consider IT requirements and support:
    • Projector and Screen
    • Microphone, PA System or Full Audio/Video
    • Connections for presentations and speaker
    • Internet Connection
  • Consider how the room will accommodate the following:
    • Tables for Sponsors
    • Booths
    • Vendors 
    • Sign in Sheet 
    • DP Coordinators 
    • Door Prizes
    • Attendees
    • Podium

  • Consider whether the attendees will have adequate line of sight to see presenters

  • Assure the facility has adequate lighting

  • Parking shall accommodate attendees

  • Consider if on-site catering is desired

  • Assure that the facility is available for the time and duration of the meeting
